What we collect, what happens to a recorded test call, and what you can ask us to do about it.

Test-call recordings — the part that matters most
We place recorded conversations with AI agents, and those recordings are the evidence behind every score. Because that is unusual, it goes first:
- Our caller is synthetic. The person on our side of the call is not a real person: the identity, the details and the story are fictional, and the caller says it is a test when asked directly.
- The other side is usually not a person either. We test AI agents. Where a call reaches a human — an escalation, a fallback, a receptionist — that recording is handled with the same care as any other and is never published.
- Recordings are redacted before they are stored, and a recording that fails redaction is not used for scoring.
- Recordings are internal evidence and are never published or sold. We use them to score, to re-review a failure, and to settle disputes. When a vendor disputes a published result, we share the specific disputed material with that verified vendor so they can see what we saw — transcripts, the reasoning behind the score, and the originating caller ID and timestamp so they can find the same conversation in their own logs.
- Retention. Recordings and transcripts are kept while they are the evidence for a published or disputable assessment, and deleted on a schedule after that. Tell us if you need specifics for your own compliance review.
What we collect
- Account information you give us: name, work email, company, and — for vendor accounts — the domain we verify you by.
- Billing information. Card details are collected and stored by our payment processor, Stripe. They do not reach our servers; we keep the card brand, its last four digits and its expiry so you can recognise it, plus the record of what was charged.
- Test configuration and results: the lines you asked us to test, the situations you chose, and the outcomes.
- Usage and technical data: log data, device and browser information, and the IP address an agreement to these documents was submitted from.
- Correspondence you send us.
Why we may use it
- To operate the service you asked for — running tests, scoring them, and showing you the results.
- To bill you accurately, and to prove what we billed for.
- To keep the service secure, to detect abuse, and to meet our legal obligations.
- To improve the method and the software, using aggregated or de-identified information wherever that is sufficient — which it usually is.
- To contact you about your account. We do not sell personal information, and we do not share it with a vendor so they can sell to you.
Who we share it with
Service providers who help us run the service, under contract and only for that purpose: cloud hosting, telephony, payment processing, and the AI model providers whose systems process conversation text for scoring. We may disclose information where the law requires it, and we would tell you unless we are prohibited from doing so. If the business is ever sold or reorganised, information may transfer with it, subject to this policy.
Your choices
You can ask us for a copy of your personal information, ask us to correct it, or ask us to delete it, and you can close your account at any time. Some information we must keep — billing records, and the evidence behind a published assessment — and we will tell you plainly when that applies rather than quietly declining. Write to hello@proofground.ai. If you are in a jurisdiction with additional rights, such as the EEA, the UK or California, we honour them; tell us where you are so we apply the right ones.
Security, children, and changes
We protect information with access controls, encryption in transit and at rest, and the practice of redacting conversation content before it is stored. No system is perfectly secure, and we will not pretend otherwise. The service is not directed to children and we do not knowingly collect their information.
We may update this policy. Material changes are notified to account holders before they take effect, and the version above tells you which text applied when you agreed.
